Privacy Policy
Last updated October 2, 2026
The short version: we collect what is needed to run your ordering portal, we do not sell it or use it for advertising, and you can ask us to correct or delete it.
1. Who we are
Yardsheet is run by Romio Group LLC, based in Niagara, Ontario, Canada. For anything about your privacy, write to hello@yardsheet.com.
2. What we collect
We collect what is needed to run the service:
- Account details — your name, email, phone number if you give one, and a password (stored scrambled; we cannot read it).
- Your nursery's records — the plant list, prices, counts, orders, yard records, logo and settings you and your staff enter or import.
- Your buyers' details — the company names, contact names, emails, phone numbers and delivery addresses a nursery enters for its buyers, and the orders those buyers place.
- Files you upload — spreadsheets, PDFs and photos you give the importer or the order reader, and plant photos.
- Messages — what you type to the built-in helper, and anything you send to support.
- Billing details — your plan and payment history. Card numbers go straight to our payment processor; we never see or store them.
- Technical records — the IP address, browser type and pages requested, kept in server logs to keep the service secure and working.
3. What we use it for
To run Yardsheet for you: showing your list to your buyers, taking and tracking orders, sending the emails the service depends on (invites, order confirmations, back-in-stock alerts, the availability emails a nursery sends), billing, answering support requests, keeping the service secure, and improving it.
We do not sell personal information, and we do not use it for advertising.
4. Cookies
We use only the cookies the service needs: one that keeps you signed in, and small ones that remember things like which nursery you are working in. We do not use advertising cookies or third-party tracking.
5. Nurseries and their buyers
A nursery decides which buyers to add and what to send them. For buyer details, the nursery is in charge and we handle the information on its behalf. If you are a buyer and want your details corrected or removed, ask the nursery — or write to us at hello@yardsheet.com and we will pass it on and help.
Every availability email has an unsubscribe link. Using it stops those emails from that nursery; emails about your own orders and account still arrive.
6. Who helps us run the service
We share information only with companies that provide part of the service, and only what they need for that job:
- Supabase — the database and sign-in system.
- Vercel — hosting for the website and app.
- Stripe — payments and invoices.
- Resend — sending email.
- Anthropic — the AI behind the built-in helper, the importer and the order reader. The questions, lists and documents you give those features are sent to it to produce the result.
7. Where it is stored
Our providers store and process information in the United States and other countries, so your information may leave Canada. While it is there, it is subject to the laws of that country.
8. How long we keep it
We keep your information while your account is open. If you close your account and ask us to, we delete your nursery's data. Copies in backups age out over time, and we keep records the law requires, such as invoices.
9. Keeping it safe
Information is encrypted on its way to and from the service, each nursery's data is kept separate from every other nursery's, and each buyer sees only their own prices and orders. No system is perfectly secure; if something goes wrong that affects you, we will tell you.
10. Your choices
You can ask to see the personal information we hold about you, have it corrected, or have it deleted, by writing to hello@yardsheet.com. We will answer within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
11. Changes to this policy
If we change this policy in a way that matters, we will tell account holders by email or in the app before the change takes effect.
